Overall Summary:

The Client Care Coordinator is the first point of contact for all new clients at Works Counseling Center and therefore plays a crucial role in the overall success of carrying out our mission.  The primary function of this role is to effectively launch each potential client into a successful therapeutic journey; finding the right therapist, schedule, and financial support to grow and thrive in their journey.  Once a client is placed, they will utilize their organizational, customer service,  and time management skills to manage ongoing client care outside of the clinical room. The ideal candidate operates effectively in an independent work space and upholds WCC’s mission, vision and value while also making sure our office is organized and welcoming.

Objectives:

  • Manage office communication system – Answer new and existing client phone, text, and email communications as well as internal therapist and administrative team communications
  • Oversee initial intake process with potential clients – find the right clinical and financial fit for new clients, schedule intake appointments, and collect new client intake paperwork.
  • Effectively create a welcoming and attentive office environment for clients coming and going from session while providing needed in-person scheduling, billing, and general support.
  • Work internally with clinical staff to effectively manage their schedules and provide consistent and accurate intake matches.
  • Maintain HIPAA compliance in all communications and management of client protected health information by properly organizing, collecting, and updating client paperwork.
  • Maintain and attentively stock all office supply needs to provide an efficient and enjoyable work environment and client experience.
  • Report daily on assigned metrics and strive to reach daily targets.
  • Shared responsibility, along with all WCC employees, for creating and supporting a positive, professional, team-oriented, anti-racist, harassment-free work environment
  • Other duties as may be assigned

 Competencies:

  • Must be punctual in reporting to work
  • Ability to lead and manage front of office, client intake and scheduling
  • Highly organized and detail oriented
  • Ability to collaborate with a team to reach goals
  • Highly proficient in Apple operating systems
  • Confidence and comfort on phone calls and dealing with clients in person
  • Must be able to work independently and have a high level of self-accountability
  • Strong communication and interpersonal skills
  • Efficient in utilizing Google Workspace
  • Skilled at client de-escalation and providing effective solutions to client issues.

 Education and Experience:

  • Candidates with a mental health background preferred
  • Customer service and administrative experience in an office-setting highly preferred

 Hours:

  • 40 hours per week (Monday-Friday: 8am – 5pm)
  • Starting Pay: $14-$18 depending on proven competencies and experience

 Physical Requirements:

Position requires long periods of sitting at a desk and a chair. Position will not require heavy lifting or highly strenuous activity.
